Key questions to ask for a successful Work-From-Home policy transition
Does your staff have the ability to connect to all of their applications remotely?
You may utilize connections such as VPN, Citrix, etc. to securely connect your network remotely. If you do not use those and still need access to CaseAware, you are able to do so by changing the "External" Setting within the user profile to yes. While this is not a recommended best practice to ensure your data security protocols, it is available setting in the system.

Do you have enough bandwidth for your staff to perform all of their critical job functions? Are your servers in a co-location facility?
Most likely you've planned for a certain number of remote access employees. Even allotted for extra remote workers for business continuity skeleton crew purposes. But now, you've had to send almost your entire workforce home and it requires exponentially more resources, operating at the same time.
If your servers are co-located, have you tested to ensure that all connections hit at once are still functional and operating at a sustainable performance level?
Most likely you've planned for a certain number of remote access employees. Even allotted for extra remote workers for business continuity skeleton crew purposes. But now, you've had to send almost your entire workforce home and it requires exponentially more resources, operating at the same time.
- If you are in a cloud environment or a360inc's GOLD hosted solution, this probably isn't a problem for you because, well, it's become someone else's problem. However, we are aware that 60% of our clients are still not in our hosted environment so this presents a challenge for them.
- If you aren't a GOLD client, we recommend performing stress tests prior to sending your workforce to work from home to ensure that you have enough resources to sustain increased remote connectivity across the network. You'll want to perform these stress tests by making sure that all of your staff can access critical applications at the same time and confirm all applications are operating normally.

Are your document templates being generated from CaseAware SendOuts? Do you have exceptions that aren't being completely merged or merged at all? If so, where are your document templates saved?
Most of our clients automatically generate their document with merged case level data for letters, case filings and other court forms utilizing the CaseAware SendOut feature. However we recognize that not everyone leverages this feature 100% practice-wide. We’ve heard from clients who may have less frequently used document templates saved to their desktop or network drive. Now that staff is working remotely they may have realized that those templates were saved in a location that is inaccessible unless they have access through Citrix or other VPN. Our recommended best practice is to get these forms into CaseAware for obvious efficiency gains as well as support of your continued Business Continuity Plan.

By now you are already running your staff's productivity metrics for day-to-day management. Most likely, you are utilizing the Step Performance Report (by user) for individual performance metrics. However, now your staff is at home and your managers may be having to manage new nuances due to the flexibility, schedule adjustments and/or having to balance child care while working from home. We want to make sure that your managers have all the tools to easily manage these new scenarios. Here are a few reports that may be helpful managing a remote network of staff:

- User's logged in Report: This report indicates all of the users that are currently logged in at that moment in time when the report is executed. This could be helpful when knowing "who's on First?".
- User Audit Usage Report: This Report shows a list of the activity on the system taken by a specific User over a specified period of time. It is a minute by minute listing of all actions on all Files, or on a specific File and/or Case. This Report may be beneficial for a manager wanting to know the employee’s activity over a specific timeframe.
- User Login/Logout Audit Report: This Report shows a list of Login and Logout activity of all Users in the system. This Report may be beneficial to see who Logged has in and out of the system and when.
Can your staff access all of their policies and procedures remotely?
If you access your network from a VPN and already have your P&P's on a network drive, then this may be a moot point at this point in the Recovery Plan. However you may consider migrating these documents into CaseAware for a fully virtually and fluid operating experience utilizing the Policy Module within CaseAware.
